FMA FLL RQT and FLL Jr. Expo Registration

FLL Jr. Important Note: Some FLL Regional Qualifying Tournaments or RQTs are also running FLL Expos at the same event. A FLL Jr. team may only initially sign up for a single Jr. EXPO. However, as the event approaches additional EXPOs slots may open and be offered to FLL Jr. teams. Emails will be posted to cover this.

IMPORTANT NOTE: Registration for the 2019-2020 season closing Tuesday, Nov 5, 2019

Registration for the 2019-2020 Season will close on Tuesday November 5, 2019 at 12:00 noon EDT. This to allow us to get our counts and awards. We are already full in all events and are working to either expand or look for new venues for our non Philadelphia teams. There are 2 events in Philadelphia list on the FLL Team Placement pages that show there is room but that is reserved for the Philly School District Teams that are working through payments to FIRST.

Registration Fees for the 2019-2020 Season

For this season the registration fees will be...

  • FLL Jr. Expo - $25  --  This small fee will be used to purchase trophies and help each venu offset the cost of table rentals and printing.
  • FLL RQT -- $125 -- This fee is used to pay for running these events. This includes, trophies, printing, venue costs, table and chair rentals, feeding the volunteers, referees and judges who make this all possible.
  • FLL Regional Championship-- $125

RTQ and Expo Event Registration

Starting right after the FIRST registration system closes, the FMA-FLL registration will open.

IMPORTANT NOTE: Once you register here you will get an invoice several hours later, once the system processes your request. 

Here you will see the following Sections…

  • Administrator or Coach Section:
    • Administrator: If you team has an Administrator, it is expected they will fill all this out as we assume they are expected to pay for it. Eventually you will see that you can enter several team numbers in the same form to make your life easier.
      Note: As you will see later, this form represents that group of teams that want to attend the same event as their FIRST Choice.
    • Coach with no Administrator: You can pay for multiple teams as long as you are listed as the coach. Otherwise you will pay for only the one team.
  • Payment Section:
    You can select your method payment.
    • Credit Card - You will be able to pay on line once you receive the invoice via email.
    • Check - Please make check out to FIRST Mid-Atlantic FLL/FLL Jr

      • VERY VERY VERY IMPORTANT: In the check's memo YOU MUST include the invoice number so we know where to apply the payment. Failure to do this will cause many days of delay in processing. 
    • Purchase Order - If you select Purchase Order, you will need to include the PO number and your AR contact information in the area provided. Any delay in reaching AR will delay your approval to attend any of the events.You are responsible to get your AR department to pay your registration fee. FMA-FLL will not be responsible to get it from you AR department. If you are using a PO that indicates a commitment on you part that these teams are coming to this event.
  • Select RQTs (RQT=Regional Qualifying Tournament) or FLL Jr. Expos:
    • Team Number or Numbers:
      • First you will be asked to enter the team number(s) you represent. If you represent multiple teams you can enter them as comma AND space separated numbers.
        Good Example 1: 12345   
        Good Example 2: 65432, 7836, 9065,

        Bad Example 1: 421,456,612,564,567,145,123 (We see this as a very big number like the age of the atoms in the universe. Very, very bad form!!!!)
        Bad Example 2: Larkin Bots (Incredibly bad form!!!! We need the Team number(s) not the team name.)
      • Any other characters besides spaces numbers and commas will cause a problem for the program reading this and generating the invoices and will require you to renter a few days later once we figure it out.

        Important Note: If you represent multiple teams where one group or teams wants RQT X as First choice and the other group wants RQT Y as First choice then you need to enter 2 different forms. Each will get their own invoice.

    • You will then be allowed to select 3 RQTs or Expos in order of your priority for the teams attending. Selecting fewer events may make you ineligible for any if all the others are full so selecting 3 is a good idea.

      Important Note for RQTs: Philadelphia Teams: If you are a team within Philadelphia you get FIRST choice either the Central High RQT or if you are a first or second year team, the Penn Alexander RQT.

Advanced registration is required for all RTQs and Expos by the stated deadlines. FMA-FLL/FLL Jr. at its discretion may accept registration requests after the registration period is closed. Event registration requests FMA-FLL/FLL Jr. PA-Southeast Region Championship is limited to qualified teams.

Our RQTs have a limited capacity. Teams will be placed on a Registered List or a Wait List based on capacity availability. Only teams on the Registered List may participate in the event.

FLL Registration Processing

Each Regional Qualifying Tournament or RQT and Expo has one Registered List and optionally multiple Waitlists.

The Waitlists are named Priority 0 (zero) Waitlist, Priority 1 Waitlist, Priority 2 Waitlist, Priority 3 Waitlist, etc, but most often you will see them by their shorthand name P0, P1, P2, P3 and so on.

  • Teams are placed, by the process below, and remain on the Registered List as long as they meet eligibility requirements for that event.
  • A Waitlist is ordered by the timestamp the Team Event Registration Google Form submissions, from the earliest date to the most recent date.
    • If a Qualifier is being run by an organization with many FLL or FLL Jr. teams, they are considered priority zero or P0. Those teams get first priority to that event. They will be set to a "Registered" state immediately.
    • When there is an open slot at an event ready to be offered to a team, the P1 Waitlist is used first to find a team until it is fully processed (top to bottom), then the P2 Waitlist is processed, and so on.
  • The administrator or primary coach of a Team is notified by email with an invoice for the event. The Team's status will be set to "Invited" indicating they will fill that spot once they have paid in a timely manner.

  • If you do not want to accept the invoice or there are errors call us immediately at 215-823-9593. The invoice or invite can be modified or withdrawn.
  • Once payment is received your team is considered registered.

FLL RQT Registration Fees Deadlines
FIRST Mid-Atlantic FLL and FLL Jr. QRTs and Champs must receive the Tournament registration fee as follows:

PA-Southeast FLL RQTs and Exp0s
The Event Registration Fee is due either...

    1. Fifteen (15) business days / three (3) weeks after the event registration invoice email date if paying by check or credit card.
    2. Twenty (20) business days or four (4) weeks after the event registration invoice email date if paying by PO.
      Note: You are still responsible to get you accounting department to send the check to the correct location. 
    3. If there are two or less weeks until the event, the response window drops to 2 business days.
    4. If there is less than one week until the event, the window drops to 1 business day.
  • If the RQT Fee is not received by the Due Date, the team will be removed from the Registered list, put at the end of the priority list and the open slot will then be offered to the next eligible team. You will then be informed of this by email.
    If you have issues paying and need an extension please contact the FLL Director at 215-823-9593 to tell us when we may expect payment. This must be done before the fee is due.
  • If the team is removed from a Registered List with less than two (2) weeks before the Tournament date and the slot vacated by the team cannot be filled, the team is still responsible for the Event Registration Fee. If you expect to have delay in payment please let us know ASAP.
  • You will be informed of this by email. If you have issues paying and need an extension please contact us to tell us when we may expect payment. This must be done before the 3 weeks is up.

PA-Southeast FLL Championship Tournament
The Champs Registration Fee is due either three (3) weeks after the event registration confirmation invoice date or four (4) days before the Tournament date, whichever is earlier. If the Event Registration Fee is not received by the Due Date, the team will be removed from the Registered list and the open slot will then be offered to the next eligible team. If the team is removed from a Registered List with less than two (2) weeks before the Tournament date and the slot vacated by the team cannot be filled, the team is still responsible for the Event Registration Fee. If you expect to have delay in payment please let us know ASAP.

Tournament Team No-Shows
No-shows are not in the spirit of Gracious Professionalism and are not permitted. Teams that cannot participate due to circumstances beyond the control of the team (e.g. school closings, severe weather, etc.) will not be considered no-shows if the FMA-FLL/FLL Jr. Affiliate Partner is notified prior to the start of the Tournament. Consequences of no-shows include, but are not limited to the following:

  • loss of eligibility to attend the FMA-FLL/FLL Jr. Championship Tournament
  • reduced registration priority for future RTQs or Expos
  • forfeiture of FMA-FLL registration fees

Tournament Team Withdrawals
A Withdrawal is a team-initiated request resulting in that team being removed from the Registered List of an event. These team-initiated requests include:

  • a removal request resulting in the team being removed from a Tournament Registered List
  • a change request resulting in the team being removed from a Tournament Registered List
  • any similar requests, written or verbal, resulting in the team being removed from a Tournament Registered List

The FMA-FLL/FLL Jr. Affiliate Partner will review and approve/deny all Withdrawal requests. Withdrawal requests must be directed to mailto:[email protected]?subject=Team Withdrawal Request. The consequences of a Withdrawal include, but are not limited to the following:

  • reduced registration priority for future Tournaments
  • forfeiture of Tournament registration fees

Team Withdrawal Exception
A team may be approved for a Withdrawal without penalty under the following conditions:

  • the team is permitted only one (1) Withdrawal Exception per season. The Withdrawal request must be directed to mailto:[email protected]?subject=Team Withdrawal Exception Request
    The Withdrawal request must be received at least three (3) weeks prior to Tournament date.
  • If the team has been approved for a Tournament Withdrawal six (6) weeks or less before the Tournament date and the team requests to re-register for that same Tournament, then team will be added to the Priority 10 Waitlist (P10 Waitlist) of that Tournament regardless of the Preference used. Note that this applies whether the Withdrawal and re-register requests are part of a single change request or resulting from multiple removal/change requests.

RQT Rescheduling and Cancellation
The decision to reschedule or cancel any RQT is not undertaken lightly. The situations most likely to cause this include, but are not limited to:

  • Severe weather conditions.
  • Exceptional circumstances including extended power outage, loss of heating/air conditioning, loss of water, fire, natural disaster, etc.
  • Significant illness that might involve the closing of a facility prior to an event.

The FMA-FLL/FLL Jr. Affiliate Partners and the Event Host will determine if there will be a delay, early dismissal, rescheduling, or cancellation of the event. If the event has to be rescheduled or canceled before the event day, teams will be notified by an email sent to the team’s main and alternate contacts as designated in the team’s registration with FIRST only. The information will also be displayed on the FMA-FLL/FLL Jr. website.
